Who we are
Ha Giang Native Tour, owned by Bui Thanh Dung, is responsible for the personal data described here. We handle personal data in line with Vietnam's Decree 13/2023/ND-CP on personal data protection.
What we collect
- Contact details: your name, WhatsApp number and email address.
- Trip details: dates, number of travellers, how you want to travel, and anything you tell us about diet, health or other needs.
- Passport details: name, passport number, nationality and date of birth, needed for the border area permit and the travel insurance.
- Messages: what you write to us in the chat on this website and on WhatsApp.
- Payment records: amounts, dates, invoice numbers and the method used. Card details are handled by the payment gateway, not by us (see our Payment Policy).
- Technical data: IP address, browser, device and the pages you visit, collected through cookies.
How we use it
- To answer your questions, put together your trip plan and price, and send your invoice.
- To book your rooms, vehicles and guide, arrange the border area permit and the insurance.
- To contact you before and during the trip, including reminders before your start date.
- To take payments, make refunds and keep the accounts that Vietnamese law requires.
- To understand how visitors use this website and improve it.
We do not sell your personal data, and we do not send you marketing messages without your agreement.
Chat on this website
The chat on this website is answered first by our automatic assistant, and our team reads every conversation so the owner can follow up himself. To write its replies, the assistant sends your messages to an AI service provider that processes them on our behalf. Please do not share card numbers or passwords in the chat.
Who we share it with
- Your guide, rider-guides, drivers and the homestays and hotels on your trip, only what they need to look after you.
- The local police and border authorities, for the border area permit.
- The insurer, for travellers covered by the trip's insurance.
- The payment gateway and banks, to process payments and refunds.
- Service providers who run our website, hosting, messaging, analytics and chat assistant, under their own data protection terms.
- Public authorities, when Vietnamese law requires it.
Cookies and analytics
This website uses Google Analytics cookies to count visits and see which pages are read. They do not tell us who you are. You can block or delete cookies in your browser settings; the website still works without them.
How long we keep it
- Booking and payment records are kept for as long as Vietnamese accounting and tax law requires.
- Messages and enquiries that did not lead to a booking are kept for up to 2 years, then deleted.
- Passport details are kept only as long as they are needed for the permit and the insurance of your trip.
How we protect it
This website and our booking system use encrypted connections (HTTPS). Access to your data is limited to the owner and the team members who need it for your trip.
Your rights
You can ask us to show you the personal data we hold about you, correct it, delete it, or stop using it, and you can withdraw a consent you have given. Send your request on WhatsApp. We reply within 7 working days. Data that the law requires us to keep, such as accounting records, cannot be deleted before the end of that period.
Children
Bookings for children are made by a parent or guardian, who gives us the child's details.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows the latest version.
